General Administration & Office Coordination Officer

Job Summary

The General Administration & Office Coordination Officer is responsible for bringing structure, discipline, and professional standards to daily office operations by managing documentation, coordinating inter-departmental communications, supporting management follow-ups, and helping transition the organization toward system-based administration.

Key Responsibilities

Office & Daily Administration:

Coordinate day-to-day office activities, maintain a professional and productive environment, monitor office supplies/facilities, and manage visitors, appointments, and meetings.

Documentation & Information Control:

Maintain accurate physical and digital filing systems, handle official correspondence, and ensure documents are properly protected and accessible.

Management Support & Follow-Up:

Prepare meeting materials, minutes, and action trackers; monitor pending commitments and deadlines; and escalate unresolved administrative issues.

Internal Coordination:

Facilitate smooth information flow between departments and across company locations.

HR & Employee Administration Support:

Assist with attendance, leave tracking, personnel records, and the administrative rollout of company policies while maintaining strict confidentiality.

System & Process Discipline:

Implement administrative checklists, registers, and trackers, and support the use of ERP and digital systems.

Educational Qualification & Experience Requirements

Education

Diploma or Bachelor’s Degree in Business Administration, Management, Office Administration, or a related field.

Experience

2 to 4 years of relevant work experience (previous experience supporting management or multiple departments, as well as ERP/software familiarity, is an advantage).

Required Skills & Competencies

Highly organized, naturally structured, proactive, and exceptionally strong in follow-up.

Strong attention to detail with excellent multitasking and prioritization abilities.

Strong proficiency in Microsoft Office applications.

Excellent written and verbal communication skills in both English and Amharic.
