Job Summary
The Senior Executive -Store is responsible for the
end-to-end management of plant store operations
, including raw materials for paint production, packaging materials, finished goods, inventory control, SAP transactions, dispatch activities, vehicle coordination, documentation, and supervision of Store employees. The position ensures the availability, accuracy, safety, and proper movement of all materials and finished products.
Major Roles and Responsibilities
- Raw Material Management
Manage the receipt, storage, issuance, and control of all
raw materials used for Paint Production
.
Verify received materials against Purchase Orders, delivery documents, quantities, and specifications.
Ensure proper identification, labeling, storage, and segregation of materials.
Ensure timely issuance of raw materials to Production based on authorized requests.
Monitor stock levels and promptly report shortages, excess stock, and slow-moving materials.
- Packaging Material Management
Manage all
packaging materials
, including containers, cans, drums, cartons, labels, and other packing materials.
Ensure accurate receipt, storage, issuance, and recording of packaging materials.
Coordinate with Production and Supply Chain teams to ensure packaging materials are available according to the production plan.
Control damages, shortages, and unnecessary wastage of packaging materials.
- Finished Goods Management
Manage the receipt of
finished goods from Production
and ensure quantities are properly recorded.
Ensure finished goods are correctly stored according to product type, batch, and storage requirements.
Maintain accurate physical and system stock balances.
Ensure proper stock rotation and organized storage of finished goods.
Coordinate the timely release of finished goods for dispatch.
- SAP and Inventory Recording
Ensure all
receipts, issues, transfers, returns, and dispatch transactions are properly recorded in SAP
.
Maintain accurate and timely inventory data in SAP.
Regularly reconcile physical stock with SAP/system balances.
Investigate stock variances and report discrepancies to the reporting Manager.
Ensure all Store transactions have proper supporting documentation.
- Dispatch Management
Manage and coordinate the
end-to-end dispatch process
for finished goods.
Ensure products are picked, checked, loaded, and dispatched according to approved sales/delivery documents.
Verify quantities and product details before loading.
Coordinate with Sales, Supply Chain, Finance, Security, and other departments concerned with smooth dispatch operations.
Ensure timely dispatch and minimize delays in vehicle loading.
- Dispatch Vehicle Coordination
Coordinate
vehicles/trucks assigned for finished goods dispatch
.
Organize vehicle movement and loading schedules according to dispatch priorities.
Ensure vehicles are ready and properly positioned for loading.
Coordinate with drivers and transport/service providers to minimize waiting time and delivery delays.
Monitor vehicle loading and ensure documentation is completed before vehicles leave the plant.
- Stock and Inventory Control
Maintain accurate stock records for
raw materials, packaging materials, and finished goods
.
Conduct regular physical stock counts and participate in monthly, quarterly, and annual inventory counts.
Reconcile physical stock against SAP records.
Identify and report
damaged, expired, obsolete, slow-moving, and non-moving stock
.
Investigate inventory discrepancies and support corrective actions.
Maintain appropriate stock control practices to minimize losses and inventory variance.
- Store Organization and Safety
Ensure materials and finished goods are stored in an
organized, safe, and easily traceable manner
.
Maintain proper housekeeping and cleanliness of Store and warehouse areas.
Ensure compliance with company
EHS, fire safety, and material-handling requirements
.
Ensure proper stacking and storage to prevent product damage and workplace accidents.
Coordinate with EHS and other departments concerned with Store safety requirements.
- Documentation and Reporting
Maintain all Store documents, including GRNs, issue notes, transfer documents, return notes, delivery documents, and dispatch records.
Prepare
daily, weekly, and monthly Store and inventory reports
.
Report stock availability, shortages, variances, damages, and other Store-related issues to management.
Ensure proper filing and traceability of Store documents for audit purposes.
- Team Supervision
Supervise and manage the current Storekeepers and Store support employees.
Assign daily activities and responsibilities to Store team members.
Monitor employee performance, attendance, discipline, and productivity.
Provide guidance and on-the-job support to Store staff.
Ensure employees follow Store procedures, SAP processes, safety requirements, and company policies.
Coordinate manpower based on receiving, production, inventory, and dispatch workload.
- Cross-Functional Coordination
Work closely with
Production, Procurement, Supply Chain, Sales, Finance, Quality, EHS, Security, and HR
.
Coordinate material requirements with Production to avoid interruptions due to stock shortages.
Support Finance during inventory reconciliation and stock verification.
Support internal and external audits by providing accurate inventory records and supporting documents.

Qualification and Experience
Bachelor’s degree in supply chain management, Logistics, Business Management, Management, Engineering, or a related field.
Relevant practical experience in
warehouse/store, inventory, logistics, or supply chain operations
, preferably in a manufacturing environment.
Experience handling
raw materials, packaging materials, and finished goods
is preferred.
Practical experience using
SAP/ERP inventory systems
.
Good knowledge of inventory management, stock reconciliation, dispatch, and warehouse documentation.
Strong supervisory, coordination, communication, and problem-solving skills.
