MAIN FUNCTIONS
Lead and coordinate day-to-day office and administrative support activities.
Provide administrative assistance to managers, supervisors, project teams, and operational personnel.
Coordinate meetings, appointments, calendars, travel arrangements, and office activities.
Prepare, manage, file, and distribute reports, correspondence, records, and other documents.
Maintain accurate electronic and physical filing systems.
Coordinate office supplies, equipment, stationery, and general support services.
Support personnel onboarding, mobilization, demobilization, and administrative documentation.
Coordinate communication between departments, contractors, vendors, and service providers.
Ensure office activities comply with company administrative procedures and confidentiality requirements.
Supervise junior administrative and office support personnel where applicable.
KEY RESPONSIBILITIES
Manage incoming and outgoing correspondence, emails, reports, and official documentation.
Prepare
minutes of meetings, presentations, memos, letters, spreadsheets, and status reports
.
Maintain document registers, logs, databases, and tracking systems.
Coordinate meeting rooms, visitor access, catering, transport, and other office logistics.
Support travel bookings, accommodation, visas, and personnel movement arrangements where required.
Process administrative requests, purchase requisitions, invoices, and office-service documentation.
Monitor office supplies and coordinate replenishment.
Liaise with facilities, IT, security, HR, procurement, logistics, and other support functions.
Maintain confidentiality of personnel, commercial, operational, and company information.
Assist with preparation of departmental budgets, expense tracking, and administrative reports.
Ensure proper archiving and retrieval of documents in accordance with company requirements.
Coordinate office support activities during projects, shutdowns, turnarounds, and other major operations.
Monitor service providers and verify that agreed office support services are delivered.
Identify administrative issues and recommend practical solutions.
Provide guidance and support to other office administrators and support staff.
QUALIFICATIONS & EXPERIENCE
HND or Bachelor''s degree in
Business Administration, Office Administration, Management, Secretarial Studies, or a related discipline
.
Significant experience in
office administration or administrative support
, preferably within the oil & gas, engineering, construction, or corporate environment.
Strong proficiency in
Microsoft Office applications
, particularly Word, Excel, PowerPoint, and Outlook.
Experience with document management, records control, scheduling, and administrative systems.
Good written and verbal communication skills.
Strong organizational, coordination, time-management, and multitasking abilities.
High level of professionalism, confidentiality, and attention to detail.
Experience supervising administrative support personnel is an advantage.
