Job Summary

The Human Resource Administration Officer will oversee and support day-to-day HR administrative processes, including employee records, payroll support, benefits administration, recruitment coordination, HRIS management, compliance, and employee support. The role will ensure accurate HR documentation, efficient administrative processes, confidentiality, and compliance with labor laws and company policies.

Key Responsibilities

Ensure smooth operation of administrative HR processes, including recruitment, onboarding, payroll, benefits, and compliance with labor laws.

Maintain accurate and up-to-date employee records in compliance with company policies and legal requirements.

Assist in preparing payroll data and ensure employee hours, leave, and other compensation information are accurately recorded.

Monitor HR practices to ensure compliance with relevant labor laws, tax laws, employee rights, benefits requirements, and organizational policies.

Administer the HR Information System (HRIS), ensuring data integrity and accurate entry and maintenance of employee information.

Manage employee benefits programs, including health insurance, retirement plans, and leave programs.

Ensure employees are properly enrolled in benefits programs and process changes promptly.

Assist with recruitment activities, including coordinating job postings, interviews, recruitment software, and new employee onboarding.

Maintain proper documentation of employee performance, promotions, disciplinary actions, and other important employee-related events.

Ensure confidentiality and compliance when handling employee documentation and sensitive information.

Support the development and implementation of HR policies and procedures.

Provide administrative support and guidance to employees regarding HR-related inquiries, including payroll, benefits, and company policies.

Assist in preparing HR reports, including employee turnover, absenteeism, and payroll reports.

Analyze HR data to identify opportunities for improving HR processes and administrative efficiency.

Educational Requirements:

Bachelor’s degree in Human Resources Management, Business Administration, or a related field is preferred.

Work Experience

Minimum of 2–4+ years of progressive experience in HR administration.

Required Experience and Knowledge

Experience performing a variety of HR administrative tasks, including employee records management, benefits administration, and payroll processing support.

Experience with HRIS systems for managing employee data and supporting HR processes.

Knowledge of relevant labor laws, HR regulations, and compliance requirements.

Experience supporting payroll processes, including payroll data preparation and processing, is an advantage.

Organizational Skills:

Ability to manage multiple administrative tasks, prioritize responsibilities, and meet deadlines efficiently.

HR Software Proficiency:

Knowledge of HRIS platforms such as Workday, SAP SuccessFactors, ADP, payroll systems, and other HR-related tools.

Communication Skills:

Strong written and verbal communication skills for working with employees, HR colleagues, and external vendors.

Problem-Solving:

Ability to identify and resolve issues related to HR administrative processes and employee inquiries.

Confidentiality & Ethics:

Ability to maintain confidentiality and handle sensitive employee information with discretion.

Knowledge of Labor Laws:

Good knowledge of labor laws, tax regulations, and company policies relevant to HR operations.

Analytical Skills:

Ability to analyze HR data, including turnover rates and payroll reports, to support process improvement.

Time Management:

Ability to manage multiple administrative responsibilities while maintaining accuracy and efficiency.

Customer Service Orientation:

Helpful and responsive approach to assisting employees with HR-related questions and concerns.
