The Role
We are looking for a highly organised, detail-oriented and tech-savvy General Admin & HR Support Assistant to keep our office running smoothly and support our HR and operations teams. You will handle day-to-day administration, maintain accurate records, and support recruitment, onboarding and staff administration for both office and deployed staff. Excellent skills with Microsoft Office and other productivity tools are essential for this role.
Key Responsibilities
General Administration
Manage day-to-day office administration, including supplies, facilities, vendors and office logistics.
Handle correspondence, and manage emails, calendars and meeting schedules using Microsoft Outlook.
Prepare professional letters, memos, reports, contracts and presentations in Word and PowerPoint.
Set up and maintain accurate trackers, registers and reports in Excel.
Organise and maintain physical and digital filing systems, so documents are easy to find and securely stored.
Coordinate meetings, take minutes and follow up on action points.
Receive visitors, handle phone calls and route enquiries appropriately.
Support the General Manager with ad-hoc administrative tasks and projects.
HR Support
Support recruitment by posting job adverts, screening CVs, scheduling interviews and communicating with candidates.
Prepare offer letters, employment contracts and other HR documentation.
Coordinate onboarding for new hires, including document collection, ID cards, orientation and system setup.
Maintain complete and up-to-date employee records for office and deployed staff.
Track attendance, leave, contract renewals, confirmations and exits.
Collect and prepare data for monthly payroll processing, and support statutory documentation (pension, PAYE, NSITF, ITF).
Respond to routine staff enquiries and escalate issues where necessary.
Handle all employee information with strict confidentiality.
Requirements
Bachelor''s degree or HND in Business Administration, Human Resource Management, Office Management, or a related field.
2–4 years'' experience in an administrative, HR or office support role. Experience in an outsourcing, staffing or HR services company is a strong advantage.
Advanced proficiency in Microsoft Office:
Excel:
formulas (VLOOKUP/XLOOKUP, IF, SUMIF), pivot tables, data cleaning, and building trackers and reports.
Word:
professional document formatting, templates and mail merge.
Outlook:
email management, calendar scheduling and meeting coordination.
PowerPoint:
clear, well-designed presentations.
Comfortable with other productivity and collaboration tools such as Google Workspace, Microsoft Teams, Zoom, SharePoint or OneDrive, and HR or payroll software.
Familiarity with AI productivity tools (for example ChatGPT, Claude or Microsoft Copilot) is an added advantage.
Excellent written and verbal communication skills.
Highly organised, with strong attention to detail and the ability to manage several tasks and deadlines.
Discreet, trustworthy, and able to handle confidential information professionally.
Basic knowledge of Nigerian labour practices and HR processes is an advantage.
A professional HR certification (CIPM associate or student member) is a plus.
