Job Summary

The Fleet Manager is responsible for the strategic and day-to-day management of the Group’s vehicle fleet across its subsidiaries.

The role ensures maximum vehicle availability, operational efficiency, cost control, regulatory compliance, and the safe transportation of staff, guests, equipment, and goods across all business units.

The Fleet Manager will also oversee drivers, fleet vendors, vehicle documentation, maintenance, fuel management, and fleet performance reporting within a fast-paced, multi-industry environment.

Key Responsibilities

Fleet Operations & Coordination:

Manage and coordinate the Group’s fleet across all subsidiaries to ensure maximum vehicle availability and operational efficiency.

Oversee vehicle scheduling and deployment for engineering site visits, broadcast and outside broadcast operations, cosmetics distribution and logistics, corporate events, and other field assignments.

Allocate vehicles fairly and efficiently across competing subsidiary requirements and escalate conflicts where necessary.

Ensure timely and safe transportation of staff, guests, equipment, and goods across all subsidiaries.

Ensure appropriate emergency and on-call fleet coverage for time-sensitive operational requirements.

Liaise with stakeholders across the Engineering, Broadcast, Cosmetics, and other business units to align fleet support with operational requirements.

Vehicle Maintenance & Compliance:

Ensure all fleet vehicles undergo routine maintenance, servicing, inspections, and repairs as required.

Monitor vehicle condition and ensure preventive maintenance schedules are strictly followed to minimise breakdowns and downtime.

Ensure all vehicles have valid insurance, registration, licences, permits, and other statutory documentation.

Maintain accurate and up-to-date records of vehicle documentation, service history, repairs, maintenance schedules, and compliance status.

Ensure fleet operations comply with applicable transport, road safety, environmental, and regulatory requirements across all business locations.

Coordinate accident and incident reporting, investigations, repairs, and insurance claims.

Fuel, Tracking & Cost Management:

Monitor fuel consumption across the Group and investigate unusual consumption patterns, wastage, or discrepancies.

Monitor vehicle tracking/GPS systems to assess vehicle utilisation, movement, driver behaviour, and operational efficiency.

Prepare and manage the Group’s fleet budget and monitor fleet-related expenditure.

Develop and implement cost-control measures covering fuel, maintenance, repairs, tyres, spare parts, and other fleet expenses.

Identify opportunities to reduce fleet operating costs without compromising safety or operational effectiveness.

Analyse vehicle operating costs and make recommendations regarding vehicle retention, replacement, acquisition, or disposal.

Driver Management:

Supervise and manage drivers across all subsidiaries, ensuring professionalism, accountability, safety, and compliance with company policies.

Coordinate driver scheduling and deployment in line with operational requirements.

Monitor driver attendance, conduct, productivity, and performance.

Coordinate driver training, licence renewals, safety programmes, and periodic performance reviews.

Establish and enforce driver conduct standards and fleet safety protocols.

Address driver misconduct, disciplinary issues, and policy violations in collaboration with Human Resources.

Ensure drivers maintain assigned vehicles in acceptable condition and promptly report faults, accidents, or operational concerns.

Vendor & Procurement Management:

Manage relationships with external fleet service providers, including maintenance workshops, insurers, fuel suppliers, tracking service providers, tyre suppliers, and vehicle dealers.

Obtain and evaluate quotations and negotiate favourable commercial terms for fleet-related services.

Monitor vendor performance to ensure service quality, turnaround time, and value for money.

Review requirements for spare parts, repairs, and vehicle-related procurement and ensure purchases are justified and cost-effective.

Support vehicle acquisition, replacement, and disposal processes in accordance with Group policies and approved budgets.

Fleet Systems, Records & Reporting:

Own and maintain fleet management systems and software, including vehicle tracking, maintenance scheduling, fuel monitoring, and fleet records.

Maintain a comprehensive and accurate fleet register covering all Group vehicles.

Track key fleet performance indicators including vehicle availability, utilisation, downtime, maintenance costs, fuel consumption, accident rates, and driver performance.

Prepare periodic fleet reports and dashboards for management review.

Highlight operational risks, recurring vehicle issues, excessive costs, and compliance gaps and recommend corrective actions.

Maintain proper documentation and audit trails for fleet-related expenditure, servicing, fuel usage, repairs, insurance, and vehicle movements.

Requirements

Bachelor’s degree in Logistics, Transport Management, Business Administration, Engineering, or a related discipline.

Minimum of 5–7 years’ relevant experience in fleet or transport management, with demonstrated experience managing multiple vehicles, drivers, and operational locations.

Experience managing fleet operations across multiple business units or industries will be an advantage.

Strong knowledge of vehicle maintenance, preventive maintenance planning, fuel management, and fleet tracking systems.

Good understanding of transport regulations, vehicle documentation, insurance, and road safety requirements.

Demonstrated experience supervising drivers and implementing safety and compliance standards.

Strong budgeting, cost-control, negotiation, and vendor management skills.

Strong analytical and reporting skills, with the ability to identify trends and recommend operational improvements.

Excellent organisational and multitasking skills, with the ability to manage competing operational demands.

Proficiency in Microsoft Office applications, particularly Excel, and relevant fleet management or vehicle tracking software.
